As a Commercial Contracts Coordinator you will be responsible for ensuring all service contract renewal quotations are issued to customers within 60 days of expiry. Upon receipt of a customer purchase order, you will be responsible for setting up the service contract onto our ERP system so that our service operations team are able to view and deliver the requirements of the contract. Ongoing maintenance of all service contracts is required to ensure customer needs are met.

Your responsibilities will include but not limited to:

Contract Renewal Quotations
-To ensure all "internal" assigned renewal quotations are issued on time
-Liaise with the necessary stakeholders with reference to updating the contract details pre, during and post the contract where applicable.
-Ensure the contract status is maintained throughout the contract process
-Ensure service contract acknowledgements are issued to the customer and the customer portal is maintained.
-Ensure all associated contract documents are correctly filed
-All enquiries and quotations are processed in accordance with the Company's QA procedures seeking the correct authorisation where appropriate.
-Any contract enquiries from customers are responded to and prioritised as necessary and ensure any actions are made accordingly or passed to the appropriate colleague.

Contract Order Processing
-Responsible for loading of service contract orders into the ERP system and in conjunction with QA procedures and business targets.
-Creation of new accounts where appropriate
-Responsible for ensuring the installed base is created or updated to reflect the requirements of the service contract
-Ensure the contract status is maintained throughout the contract process
-Back Office Tasks Report - Completion of actions assigned or passed to the appropriate colleague
-Ensure all associated service contract documents are correctly filed
-Review and maintain the contract controlling reports for your respective market, implementing any actions as required
-Responsible for investigating service contract invoice queries and action accordingly
-Processing of contract batch invoicing, stage payments and contracts invoiced after the visit

Telephone Cover
-Telephone calls should be handled in line with the telephone protocol
-Any messages taken should include time, date, contact name and telephone number and are forwarded to the relevant personnel as soon as possible
-Telephone cover is agreed and provided for the whole department at all times

General Divisional Support
-Full understanding of the quality procedures relating to the position or related tasks
-Reasonable flexibility in working hours when essential to cover urgent situations or unexpected workload is provided.
-Cover in periods of sickness and holidays when required.
-Carry out other tasks/projects as initiated by the department manager

-Training sessions are attended on a regular basis in order to gain a full understanding of our products and services
-External site visits may be attended to broaden market and application knowledge.
