Our client is a market leader in Pharmaceuticals and they are looking for an experienced Payroll & Benefits Officer to join their team on a full time basis.

Purpose of the Position:

Manage the day to day operational payroll and benefits processes, procedures and policies; drive improvement projects to support the provision of the accurate, timely and efficient running of 2 monthly and 1 expat payroll; management & administration of employee benefits for 560 staff in, plus management of the external benefit suppliers and 3rd party service providers.

Core Tasks, Responsibilities and Authority:

    • Embed Compliance Culture across all areas of the business ensuring Integrity in Action is actively applied in all initiatives.

  • Key Accountabilities

  • Outsourced Payroll Management

    Responsible for the management of the SAP HR system and interface with payroll provider

    • Manage the payroll service for European HQ, UK Affiliate and Expats via the outsourced payroll provider.
    • Ensure monthly payroll runs accurately and effectively in conjunction with the HR Administrators
    • Managing and develop relationship with payroll provider to ensure service levels are maintained
    • Managing the adding, checking and unlocking payroll data in conjunction with HR Administrators
    • Provide pay data on Maternity and Absence management
    • Check trial runs against data entered on SAP for payroll with HR Administrators and HR Manager/Snr HR Officers.
    • Dealing with all payroll queries, investigate, proposed possible solutions, gaining approval and implementing those solution and communicating with the relevant parties
    • Arranging salary transfers and additional payments in conjunction with responsible person in Finance.
    • Acting as central point of contact for all on queries and requests from external Auditors & HRMC on payroll and benefits.
    • Manage the payment of employee court orders, student loans CSA deductions.
    • Production and management of month end headcount reports, sickness absence and other reports as and when required by various stakeholders

    SAP

    • Primary responsibility for SAP HR and external payroll interface.
    • Reporting problems with SAP HR, Employee Portal & Payroll, applying for log-on's and resolving issues.
    • SAP HR Security Officer - escalate problems, raise queries & request changes to improve the system
    • Responsible ensuring the core HR data integrity on the systems together with the HR Administrators.

    Pension & Insurance Management

    • Manage with pension brokers (Mercer) to run bi monthly pension clinics for new employees and existing scheme members.
    • Arranging for new employees to receive pension packs in a timely manner to join the scheme.
    • Update and reconcile monthly pension schedules provided by the payroll provider.
    • Maintain necessary communication with company pension advisors and ensure the continuous update of pension records.
    • Reconcile and investigate queries then proposed possible solutions which can be implemented.
    • Set up and manage the Pension Salary Exchange scheme with external pension brokers (Mercer), pension company (Aviva), Finance, IT and Payroll providers
    • Manage with Mercer the annual data submission for the various insurance reviews, such as DIS, GIP and Dependant Pension.
    • Manage the payment of insurance premiums as and when required and reconciliations of start/end of year payment/credits.

    Compensation & Benefits

    • Co-ordinate and support the annual pay review and bonus administration process for APEL and APL in liaison with the HR Manager/Snr HR Officers and European Reward team.
    • Manage and administer all aspects of the Company benefits schemes, advising employees on Medical Insurance, Dental Plan and Child Care Vouchers, and Ride to Work scheme etc. Including updating the web based medical insurance database adding joiners, leavers and amendments, liaising directly with scheme providers.
    • Maintain the core HR and benefits data and ensure integrity on the on-line TRS systems with support of the two HR Administrators.

    Process Improvement

    • Review and audit on a regular basis all aspects of end to end payroll and benefits process, recommend improvements and implement agreed changes with support of IT, external suppliers and HR team.
    • Responsible for ensuring that the payroll and benefit processes & procedures comply with the written J-Sox controls and that we can pass the regular audits made by the internal J-Sox team.
    • Drive improvements in current practice to improve efficiency, effectiveness and accuracy of Payroll and Benefits systems and processes and procedures.

    Employee Portal Intranet Based System

    • Management of the intranet Employee Portal System, answering all queries and training new employees on the system use and functionality for logging absence, basic personal data.
    • To provide advice to employees on all holiday and absence issues
    • Drive improvements with the IT team on Employee Portal functionality and effectiveness.
