Administrative Assistant / Personal Assistant

Location: Middlesex, Wembly

Salary: £22,000 - £27,000 DOE

Hours: Monday to Friday (09:00-17:30) 37.5 Hours

My client is seeking a responsible Administrative Assistant ideally with previous PA experience to provide secretarial and administrative support in a well-organised and timely manner to the Client's Group Finance Director. Your role will free the Director's time from administrative tasks so that he can spend maximum time on strategic and outward-facing tasks. As the full-time Administrative Assistant you will work on a one-to-one basis on a variety of tasks related to the Director's working life and communications.

Key Responsibilities:

  • Dealing with all email correspondence [MS Outlook]
  • Following up outstanding matters with other offices and external parties through to completion.
  • Maintaining filing system (soft & hard copies).
  • Screening calls and handling requests and queries appropriately; you will be the first point of contact for telephone calls and enquiries to the Director.
  • Managing diaries [MS Outlook]; scheduling meetings & appointments; preparing for in-house meetings; making travel arrangements (including booking flights, taxis and accommodation).
  • Reminding the Director of important tasks and deadlines.
  • Preparing agenda, minutes of meetings and other documentation.
  • Collating and filing the Director's expenses.
  • At times, reviewing spreadsheets [MS Excel], sometimes preparing simple spreadsheets with formulas, and analysing/comparing results.
  • At times, extracting reports from the Client's financial software [MS Navision] (Full training for this task will be given if necessary).

Key Requirements:

  • Discretion and trustworthiness: you will often be party to confidential information.
  • PC literate with knowledge of MS Outlook, MS Word and MS Excel.
  • Excellent communication skills both written and verbal
  • Confident in dealing with people at all levels of the business.
  • Highly organised with the ability to monitor and manage multiple tasks.
  • The ability to prioritise to meet set deadlines.
