A Fantastic opportunity to work for a market leading company in Slough the role will involve providing day to day administrative and secretarial support to the Business Unit Head UK and ad-hoc support to the Group COO and ensuring the smooth and efficient management of the Office including all facilities, reception, maintenance and ad-hoc tasks.

Security/Reception

    • Ensure the building is secured and reception is manned to the correct standards in line with policy

Liaison with external third parties including security company and landlord

  • Address any issues raised and implement improvements
  • Ensure the door swipe entry system is controlled including the issuing and deactivation of passes

Maintenance

  • Proactively identify and manage any issues in the offices
  • Act on any reported problems eg. Lights, plumbing etc
  • Responsible for co-ordination of routine maintenance eg. Air conditioning, fire alarms, plants
  • Contract and arrange for works with external suppliers

Cleaners

  • Negotiate with the contract cleaning service
  • Ensure standards are set and maintained
  • Hold routine meetings with the cleaners and carry out checks
  • Co-ordinate special cleaning and one-off jobs

Postroom/Couriers

  • Responsible for the receipt of incoming and outgoing mail
  • Ensures prompt distribution of mail deliveries to the office
  • Liaison with and negotiation with couriers on pricing etc

Company vehicles

  • Arrange servicing, maintenance and cleaning of company vehicles
  • Negotiate and liaise with limousine service providers for visitors etc

Health and Safety (In Conjunction with the Health and Safety Manager)

  • Ensure the office has sufficient First aiders, Fire Wardens and that regular training is in place
  • Ensure regular fire alarm tests and evacuation practices take place and act as the Fire Controller
  • Ensure Accidents are appropriately recorded and investigated and act on any outcomes

Co-ordination of PA/Secretarial Support

  • Work with the other Secretaries and their managers in the office to ensure that tasks are co-ordinated and cover is in place for large meetings, holidays etc For example orders of stationary, kitchen supplies
