Reception & Facilities Coordinator (Long term Temp) - Thames Ditton - £22000

I am currently recruiting for a Reception/Facilities Cooridnator on a long term Temp basis for a client based in Thames Ditton, the ideal candidate would be available immediately and have strong Facilities and Reception experience.

Job Description:

Seeking an energetic, assertive, detail oriented Reception & Facilities Coordinator to manage office operations, daily interaction with facility contractors, greet visitors, manage incoming phone calls and other office related duties.

Functional Responsibilities:

A key aspect of the job will be to keep office organised in a geographically diverse organization, often times working independently. This will require a self starter that can be depended upon with limited supervision, working across global time-zones.

  • Meet & greet all visitors
  • Ensure call are answered and callers re-directed in an efficient manner
  • Maintain company contact lists
  • Manage car parking permits
  • Manage day to day operation of access control system
  • Maintain and manage meeting rooms
  • Manage incoming and outgoing post
  • Arrange courier deliveries
  • Act as point of contact for facilities related contractors
  • Provide administrative support and other duties as required
  • Assist the registered Health and Safety Representative to ensure office compliance. This includes accident reporting, fire safety, first aid and training, corrective actions and all general Health and Safety.
  • Responsible for day to day office and facilities management of the UK offices with weekly calls with Manager

Skills & Experience:

  • Proficient to advanced MS Office skills
  • Polite and friendly telephone manner
  • Able to perform routine tasks with minimal supervision and without reference to others
  • Proactive approach to problem solving and resolutions
  • Strong interpersonal and communication skills, with a positive, self-starter attitude
  • Ability to work in a dynamic, changing team environment
  • Must perform well under pressure of tight deadlines utilizing effective time management skills
  • Ability to prioritize, multi-task and manage competing deadlines
  • Previous Facilities experience, including Health and Safety
