I am recruiting for a highly professional experienced Administrator to join a corporate multibillion dollar specialty pharmaceutical company based in Surrey. This position offers fantastic company benefits and you will be based in 5* luxury offices that over look the river Thames with excellent transport links and parking.

This individual will provide administrative support to a cross functional group. The role will entail interacting with both internal and external parties at a very senior level, where tact and diplomacy will be necessary. He/she will also create and maintain general correspondence (i.e. letters, emails, etc.), maintain department organisation charts and databases, coordinate meetings and make arrangements for department members, internal and external clients, etc. The Administrative Assistant must be able to prioritise and manage multiple demands and to interact with various organisational levels.


  • Prepare travel using the company approved travel provider, working within budget for public events and speaking engagements, and compiling relevant information and contributing content to composition of presentations, speeches or other correspondence
  • Arranging complex teleconference or face to face meetings across multiple time zones between internal senior members of staff and senior external attendees
  • Interaction with 3rd party vendors
  • Working with highly sensitive and confidential company information
  • Managing complex calendars
  • Prepare and audit expense reports
  • Processing invoices and raising Purchase Orders, tracking both Invoice and POs using company software
  • Represent the company at the highest level during frequent interactions with leaders of the business in particular working on logistics and hospitality during quarterly Board of Directors meetings
  • Manage communications, including emails, phone calls, letters
  • Participate in staff meetings

Skills and Competencies:

  • Must be detail oriented and have excellent verbal and written communication skills
  • Must be able to multi-task in a fast paced environment
  • Past experience of working with confidential and sensitive information, must be discreet
  • Experience of working across multiple time zones
  • Ability to prepare communications from draft; excellent editing and grammar skills
  • Ability to perform research and data-gathering assignments with little or no supervision
  • Ability to prioritise, meet tight deadlines, and follow up on open items
  • Ability to work in high profile situations and make sound decisions with minimal input from others
  • Must possess superb time management and organisational skills
  • Sound judgement, high initiative, strong organisational and planning skills, focus on teamwork and customer services; focus on quality and accuracy of work
