Administrative Assistant / Coordinator

My client is seeking an organised, proactive and highly professional Administrative Assistant / Coordinator to provide high-quality administrative and coordination support to members of the leadership team.
The successful candidate will be responsible for managing calendars, coordinating travel and expenses, organising meetings and events, and providing a broad range of administrative support. This role requires excellent attention to detail, strong communication skills and the ability to manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities
Leadership & Executive Support
  • Provide professional administrative and coordination support to members of the leadership team.
  • Manage complex calendars and coordinate appointments effectively.
  • Schedule internal and external meetings, ensuring appropriate preparation and follow-up.
  • Identify and resolve diary conflicts and competing priorities.
  • Handle confidential and sensitive information with discretion.
Travel & Expense Management
  • Coordinate domestic and international business travel, including flights, accommodation and ground transportation.
  • Manage changes and last-minute travel requirements efficiently.
  • Prepare and process travel and business expense claims.
  • Ensure expenses are accurate, complete and submitted in accordance with company policies.
Meeting & Event Coordination
  • Organise internal meetings, leadership meetings and off-site events.
  • Coordinate appointments and meetings with external companies and stakeholders.
  • Manage event registrations and participant information.
  • Coordinate meeting logistics, venues, catering, materials and other requirements.
  • Support the smooth running of events and meetings from planning through to completion.
General Administration
  • Provide day-to-day administrative and assistant support to the wider team.
  • Prepare documents, correspondence, presentations and meeting materials as required.
  • Maintain accurate records and documentation.
  • Coordinate information and communication between internal teams and external stakeholders.
  • Undertake additional administrative tasks and projects as required.
Skills & Experience
The ideal candidate will have:
  • Previous experience in an Administrative Assistant, Executive Assistant, Team Assistant, Coordinator or similar role.
  • Experience supporting senior managers, executives or leadership teams.
  • Strong calendar and diary management experience.
  • Experience arranging business travel and managing expenses.
  • Experience coordinating meetings, events and external appointments.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to prioritise and manage multiple tasks simultaneously.
  • A proactive, flexible and solutions-focused approach.
